Shipping, Return and Refund Policy

This Shipping, Return and Refund Policy explains how orders placed with Vinyl Record Vault are processed, delivered, returned, replaced, and refunded. This policy forms an integral part of our Terms and Conditions. By placing an order through our website, you acknowledge that you have read and agreed to this policy.

Vinyl Record Vault currently ships only within India and to serviceable Indian pincodes. We do not offer international shipping to customers at this time.

Many products available through Vinyl Record Vault are rare, limited-edition, imported, pre-ordered, backordered, or specially sourced from vendors and distributors. Their availability and delivery timelines may therefore differ from those of products ordinarily held in stock.

Order Processing and Delivery Timeline

Unless a different timeline is displayed on the relevant product page or communicated during checkout, delivery generally takes approximately 3-4 weeks from the date of order confirmation.

The delivery period shown on our website is an estimate and not a guaranteed delivery date. The actual delivery time may depend on the availability of the album, the vendor’s processing time, sourcing requirements, customs clearance of imported records before domestic dispatch, and the delivery location within India.

Pre-orders, backorders, newly announced releases, limited editions, and specially sourced albums may take longer than the usual delivery estimate. Where a different estimated timeline is known in advance, it may be mentioned on the product page or communicated directly to the customer.

Orders are processed on business days, excluding Sundays and public holidays. An order confirmation confirms that we have received the order and payment. It does not always mean that the product has already been dispatched or that final availability has been confirmed by the vendor.

Vinyl Record Vault reserves the right to verify an order before processing it. We may contact the customer if additional information is required regarding the order, payment, delivery address, or product selection. A delay in receiving the requested information may affect the processing and delivery timeline.

Product Availability

Product availability is based on information received from our vendors and distributors. Although we make reasonable efforts to keep availability information accurate and up to date, stock status can occasionally change before our website is updated.

In rare circumstances, an album may become unavailable after an order has been placed and payment has been completed. This may happen if a vendor runs out of stock, a distributor cancels an allocation, a release is withdrawn, production is delayed, or the supplied stock does not pass our quality checks.

If an ordered product becomes unavailable, Vinyl Record Vault will contact the customer using the email address or telephone number provided with the order. We may provide an updated availability estimate or offer an alternative edition or comparable product. Any alternative will only be supplied after receiving the customer’s approval.

If the customer does not wish to accept an available alternative, a refund will be provided for the unavailable product. If the entire order is affected, a full refund will be provided. If only part of a multi-item order is unavailable, we may ship the available items and refund the amount paid for the unavailable item after informing the customer.

Vinyl Record Vault will never substitute an album, pressing, edition, colour variant, or format without the customer’s approval.

Shipping Delays

Delivery may occasionally be delayed because of circumstances outside our reasonable control. These circumstances may include vendor or distributor delays, customs clearance of sourced records before domestic dispatch, courier congestion, regional restrictions, severe weather, natural events, public holidays, strikes, transportation disruptions, government restrictions, technical issues, or other unforeseen events.

We will make reasonable efforts to keep customers informed when we become aware of a significant delay. Customers may be contacted by email, telephone, WhatsApp, or another contact method provided with the order.

A delay caused by an external event does not automatically mean that the order has been lost or cancelled. However, nothing in this policy limits any remedy available to the customer under applicable law.

Dispatch and Tracking

Tracking details will be shared once the order has been packed, dispatched, and accepted by the courier. Tracking information may take approximately 24–72 hours to become active or show movement after dispatch.

The absence of an immediate tracking update does not necessarily mean that the parcel has not been dispatched. Courier systems may take additional time to scan and update shipments, particularly during public holidays, sales periods, or periods of high demand.

Customers are responsible for monitoring the tracking information and remaining available for delivery. Where possible, the courier may contact the customer before delivery, but Vinyl Record Vault cannot guarantee that every courier will make a telephone call.

Orders containing multiple albums may be shipped separately depending on product availability, sourcing location, packaging requirements, or courier limitations. If Vinyl Record Vault chooses to divide an order into multiple shipments, the customer will not be charged an additional shipping fee unless this has been communicated and agreed in advance.

We take reasonable care to package records securely to reduce the possibility of damage during transportation. Depending on the product and order size, protective mailers, internal support, cushioning, or other suitable packaging materials may be used.

While we make every reasonable effort to protect each order, external courier packaging may occasionally show signs of handling during transit. Damage limited to the external courier box or mailer will not normally qualify for a return or refund if the record, record sleeve, inserts, and other contents remain unaffected.

Customers should carefully inspect the parcel at the time of delivery. If the parcel appears severely damaged, opened, tampered with, or wet, the customer should photograph the parcel before opening it and, where reasonably possible, note the condition with the delivery representative.

Delivery Address and Contact Information

Customers are responsible for providing a complete and accurate delivery address, postcode, telephone number, and email address when placing an order.

Please contact Vinyl Record Vault immediately if you notice an error in your delivery information. We will make reasonable efforts to assist, but changes cannot be guaranteed after an order has been placed, processed, or dispatched.

Vinyl Record Vault is not responsible for delays, failed deliveries, or losses caused by incorrect or incomplete information supplied by the customer. We are also not responsible where the customer cannot be contacted because an incorrect telephone number or email address was provided.

If a parcel is returned because of an incorrect or incomplete address, repeated unsuccessful delivery attempts, refusal of delivery, failure to answer the courier, or failure to collect the parcel, the customer may be required to pay the actual re-shipping cost before the parcel is dispatched again.

An order does not become eligible for cancellation merely because the customer refused delivery or was unavailable to receive it.

Lost or Undelivered Shipments

If tracking has not updated for an unusual period or the parcel has not arrived after the estimated delivery period, please contact Vinyl Record Vault with your order number.

We will review the tracking information and raise an investigation with the courier where appropriate. Courier investigations may require additional time, and we may request the customer’s cooperation or confirmation as part of the investigation.

A parcel will not be considered lost solely because tracking has temporarily stopped updating. It will be treated as lost after the courier confirms the loss or after our investigation reasonably establishes that delivery is no longer expected.

If a shipment is confirmed lost, Vinyl Record Vault will offer an appropriate replacement or refund. Replacements are subject to product availability. If the same album or edition is unavailable, the customer may be offered an alternative, subject to approval, or a refund.

Order Cancellations

Once an order has been placed and payment has been confirmed, it cannot be cancelled by the customer.

Many records are ordered, reserved, or specially sourced from vendors specifically in response to customer orders. Please carefully review the artist, album title, edition, pressing, format, colour variant, quantity, price, delivery address, and contact information before completing your purchase.

Requests to add, remove, replace, or modify products after an order has been placed cannot be guaranteed. If we are able to approve a requested modification, any difference in price or shipping cost may need to be paid before the order is processed.

The no-cancellation condition does not affect any non-waivable rights or remedies available to customers under applicable law. If Vinyl Record Vault is unable to fulfil an order, the customer will be contacted and offered an appropriate alternative or refund.

Eligibility for a Return, Replacement or Refund

A return, replacement, partial refund, or full refund may be considered where the record or its sleeve arrives materially damaged, the record has a manufacturing defect, the wrong album or edition has been delivered, an item is missing from the parcel, or the supplied product materially differs from its description on our website.

A request may also be considered where the product is found to be inauthentic, the parcel is confirmed lost, or another remedy is required under applicable law.

All requests will be reviewed individually. Submitting a request does not automatically mean that the return, replacement, or refund has been approved.

The remedy offered will depend on the nature of the issue, the evidence provided, product availability, and applicable law. Vinyl Record Vault may request additional photographs, videos, or information reasonably required to review the claim.

Reporting a Damaged, Defective or Incorrect Product

Customers should contact Vinyl Record Vault within 48 hours of delivery if an order arrives damaged, defective, incomplete, or incorrect.

The request should include the order number, the customer’s name, a clear description of the issue, and clear photographs of the record, record sleeve, inserts, external packaging, internal packaging, and shipping label. An unboxing video may also be provided if available.

Photographs should clearly show the reported damage, defect, or incorrect item. Blurred, incomplete, or unrelated photographs may make it difficult to verify the claim, and additional evidence may be requested.

Please retain the product, sleeve, inserts, accessories, shipping label, and all original packaging until the claim has been reviewed. The product should not be returned, repaired, cleaned, altered, or further used without receiving instructions from Vinyl Record Vault.

Reporting transit damage within 48 hours helps us verify the claim and raise a timely complaint with the courier. However, this reporting period does not limit any non-waivable rights available under applicable law.

Items and Situations That Are Not Eligible

Unless otherwise required by applicable law, Vinyl Record Vault does not accept returns or provide refunds because of a change of mind, personal preference, accidental purchase, ordering the wrong album or edition, or no longer wanting the product.

Returns will not normally be accepted because a customer prefers a different pressing, colour, cover design, catalogue number, or edition where the product supplied matches the product description and order confirmation.

Minor differences in colour or appearance may occur because of photography, lighting, screen settings, printing, manufacturing, or pressing variations. These differences will not normally be treated as defects unless the supplied product materially differs from its description.

Vinyl records are physical analogue products. Minor surface noise, static, or occasional light playback noise may not necessarily indicate a manufacturing defect. Each playback-related claim will be reviewed based on the nature and severity of the reported issue.

Damage caused after delivery through incorrect handling, storage, cleaning, playback equipment, exposure to heat or moisture, or other customer-related causes will not be eligible for a return, replacement, or refund.

Damage limited to the external courier packaging will not qualify if the record, sleeve, inserts, and other contents remain unaffected.

Refusing delivery, failing to collect a parcel, or being unavailable for delivery does not create an automatic right to a return or refund.

Return Approval and Collection

Products must not be returned without prior written approval from Vinyl Record Vault. Unauthorised returns may not be accepted or processed.

If a return is approved, we will provide instructions regarding collection or return shipping. The customer must follow these instructions and package the product securely to prevent further damage.

The returned package should include the record, sleeve, inserts, accessories, promotional items supplied with the product, and original packaging where reasonably possible.

Where the product is confirmed to be damaged, defective, incorrect, inauthentic, or materially different from its description, Vinyl Record Vault will arrange or bear the reasonable return shipping cost, as applicable.

If a courier collection is scheduled, the customer must ensure that the parcel is properly packed and available for collection at the agreed location and time.

Inspection and Resolution

Returned products may be inspected before a replacement or refund is completed. The inspection will confirm whether the product and reported issue match the approved return request.

If the request is approved, Vinyl Record Vault may offer a replacement, exchange, partial refund, or full refund, depending on the circumstances.

Replacements are subject to availability. If the same album, pressing, edition, or variant is unavailable, we will contact the customer to offer an alternative or a refund. An alternative product will only be supplied after receiving the customer’s approval.

Where only one item in a multi-item order is affected, the remedy will ordinarily apply to that item. A full-order refund will generally be provided only where the entire order is affected or where required under applicable law.

Refund Processing

Approved refunds will be issued to the original payment method used for the purchase. Refunds will not ordinarily be transferred to a different bank account or payment method.

Refunds will be initiated within a reasonable period, ordinarily within 7 business days after approval or, where a return is required, after the returned product has been received and inspected.

After a refund has been initiated, the customer’s bank, card issuer, UPI provider, or payment service provider may require additional time to credit the amount. This processing period is controlled by the payment provider and may not be within Vinyl Record Vault’s control.

If a product becomes unavailable before dispatch, the refund will be initiated after the customer confirms that they do not wish to accept an available alternative.

Original shipping charges will only be refunded where the entire order qualifies for a refund, where shipping charges are directly connected to an approved claim, or where otherwise required under applicable law.

Any promotional discount, coupon, store credit, or offer applied to the original order may be taken into account when calculating the refundable amount.

Vinyl Record Vault reserves the right to update this policy from time to time. Any revised policy will become effective when published on our website. Changes will not unfairly reduce rights that have already arisen in relation to an order placed before the updated policy was published.
